Your privacy matters to us. This policy sets out what we collect, why we collect it, who we share it with and how long we keep it.
Who we are
Rogue Designs is an architecture and interior design practice at 75 Wytham View, Eynsham, Oxfordshire, OX29 4LY. We are the data controller for the information described here. What we collect
We only hold information you have given us. We collect it when you:
send us an enquiry through our website, by email or by telephone
complete our enquiry form or project brief
work with us on a project
For an enquiry, that is usually your name, contact details, the address of the property, what you are hoping to do and a general idea of budget.
For a project, it extends to what we need in order to design for you: the property and its history, how you use it and how you would like to, who lives there, your budget and programme, and correspondence between us and with the consultants and contractors working on the project.
Sometimes a brief includes information about health, mobility or access needs, so that we can design a house that works for you. This is sensitive information and we treat it as such. We use it only to design and specify the work, we share it only with the people who need it to do that, and we do not keep it beyond the life of the project unless you ask us to.
If you tell us about the ages of children in the household, we use that only to understand how the house needs to work. We do not collect information directly from children.
Why we use it, and on what basis
Replying to your enquiry and deciding whether we are the right practice for your project. Our legitimate interest in responding to people who contact us.
Designing, specifying and managing your project. Performance of our contract with you.
Submitting applications for planning permission, listed building consent and building regulations approval. Performance of our contract with you, and our legal obligations.
Keeping accounts and records. Our legal obligations.
Answering questions about a building we designed, sometimes years later. Our legitimate interest in standing behind our work.
Health, mobility or access information given in a brief. Your explicit consent.
You can withdraw consent at any time. Where we rely on legitimate interests you have the right to object, and we will stop unless we have compelling grounds to continue.
Who we share it with
We do not sell or trade your information, and we never pass it to anyone for marketing. We do share what is necessary with:
the consultants a project needs, such as structural engineers, quantity surveyors, party wall surveyors, planning, heritage and ecology consultants, and approved building inspectors
contractors and craftspeople tendering for or carrying out the work
your local planning authority, when we make an application on your behalf
our accountants, and the providers who run our email, website and file storage, including Squarespace and Dropbox
HMRC and other authorities where the law requires it
Everyone we work with is expected to keep your information confidential and to use it only for your project.
Please note that planning applications are public. When we submit an application, the local planning authority publishes it on its online register. That normally includes the address, the drawings and the name of the applicant, and it stays publicly available. We will always tell you before we submit.
Where your data is held
Our website is built on Squarespace. Our project files, drawings and correspondence are held in Dropbox, and our email and backups are provided by established suppliers operating to recognised security standards. Some of these companies are based outside the United Kingdom, in which case the transfer is covered by the safeguards required under UK data protection law.
Our files and backups are encrypted and password protected. We will tell you promptly if anything happens to your data that puts you at serious risk.
We do not send newsletters or marketing emails, and we do not add anyone to a mailing list.
How long we keep it
Enquiries that do not lead to a project. Two years, then deleted.
Project records, including drawings, specifications and correspondence. At least seven years after completion for accounting purposes, and in most cases longer, because we may need to answer questions about a building we designed. Drawings are often kept indefinitely as part of the record of the practice's work.
Health, mobility or access information. Deleted at the end of the project unless you ask us to keep it.
You can ask us to delete information we hold about you, and we will do so unless we are required to keep it.
Photography
We photograph our finished work and publish it on our website, in print and in the design press. This is how a design practice shows what it does, and it is part of how we work.
Published images do not carry personal identifiers. We do not give your name, we do not publish the address, and we do not photograph people without your explicit consent. Projects are described by area rather than by street, such as a villa in North Oxford or a cottage in the Cotswolds.
If there is anything in the house you would rather we did not photograph, tell us and we will leave it out.
Cookies
Our website uses cookies to help it work properly and to give us a general sense of how many people visit and which pages they look at. You can control non essential cookies through the banner when you first visit, and you can change or refuse cookies at any time in your browser settings. Turning some off may mean parts of the site do not work as well.
Our site links to other websites which we do not control. Their privacy policies are their own.
Your rights
Under UK data protection law you have the right to:
ask what personal data we hold about you and receive a copy
have inaccurate data corrected
have data erased in certain circumstances
object to, or ask us to restrict, how we use it
receive data you gave us in a portable form
withdraw consent where we relied on it

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113.
Keeping your data up to date
We may occasionally ask you to confirm that what we hold is still accurate. Please tell us if your details change.

We review this policy from time to time. The date at the head of this page shows when it was last changed. You can also download a copy of this policy.
